Hiring foreign workers in Poland? A new legal obligation takes effect in August!
As of July 1, 2025, an amendment to Polish migration and employment law has introduced a new obligation for employers hiring foreigners on the basis of a work permit for the purpose of employment with a Polish entity entrusting work to a foreigner. Employers are required to submit a copy of the signed employment contract to the authority that issued the permit.

The amendment is already in force – but the system launches in August
Although the new rules are already in place, employers are not yet required to submit employment contracts until August 1, 2025. This results from transitional provisions and an official announcement by the Ministry of Family, Labour and Social Policy.
The reason? The dedicated IT system for submitting contracts will be launched at the beginning of August 2025. Until that time – i.e., until July 31, 2025 – the submission requirement is not enforced, and employers are not legally obligated to take any action.
New employer obligations starting August 1
Starting from August 1,2025 once the system is operational, employers will be required to:
- Submit a copy of the employment contract signed with a foreign national,
- Within 7 days from the date of conclusion,
- Via the official online system for work permit documentation.
Failure to comply may lead to serious consequences
Employers who do not meet the new requirements may face administrative penalties, including possible revocation of the work permit.
