E-delivery – a digital revolution for entrepreneurs and companies from 2025
From 2025, e-delivery will become mandatory for commercial companies and sole proprietors. This is a step towards full digitisation of contacts with the administrative authorities, which will replace traditional correspondence and introduce new communication standards.
What are e-deliveries and how do they work?
E-delivery is a service that enables entrepreneurs to send, receive and store correspondence in electronic form in their dealings with public institutions. This state-of-the-art solution guarantees full compliance with current legislation. It replaces traditional registered letters with acknowledgement of receipt, while offering benefits such as:
- automatic archiving,
- the possibility to monitor the status of correspondence in real time,
- time savings and greater convenience in day-to-day business operations.

How do I register an e-delivery box?
Registration will be done online, through the government’s ICT system and entry into the Electronic Address Database. Once the entry has been made, all correspondence with authorities, courts and other public institutions will, in principle, take place exclusively in electronic form, through the newly established e-advice box. In exceptional cases, provided for by the provisions of the e-communication law, it will be possible to deviate and deliver correspondence in traditional paper form).
E-deliveries will be available through:
- mObywatel
- Integrated mailboxes,
- Entrepreneur’s account on biznes.gov.pl,
- Edoreczenia.gov.pl,
- Applications of companies providing the e-Delivery service.
Benefits and challenges of the new system
The main benefit of e-deliveries is the simplification and improvement of communication with public administration and supervisory authorities. Entrepreneurs will be assured that correspondence is secure and legally binding. It is worth bearing in mind, however, that the implementation of e-deliveries may require changes to some internal workflow procedures, which may pose a challenge for many entities.
It should be borne in mind that the failure to set up an e-delivery box within the deadline provided for by the regulations may result in the risk of making contact with the administration difficult and, consequently, lengthening the deadline for handling cases, as the authority will have to use the so-called hybrid mode, whereby the public entity sends the letter in electronic form and then the operator prints it out and delivers it as a traditional registered mail.
In summary, e-delivery is a step towards full digitalisation of companies’ contacts with offices, which in time will translate into greater efficiency and transparency of communication. However, it will be essential for entrepreneurs, especially smaller ones, to prepare properly for the upcoming changes.
